  • The QikKids Transaction Gateway makes it possible for you to offer your parents secure and fully automated electronic payment options including credit card, direct debit and BPAY.
  • The QikKids Transaction Gateway can process credit card, direct debit and BPAY transactions on a daily, weekly, fortnightly or monthly basis. It can even manage processing multiple payment frequencies and methods.
  • Straight through processing – there is no need to re-key account information or enter payments manually. The QikKids Transaction Gateway automatically adjusts the accounts in QikKids if a payment is declined.
  • No need to wait weeks for set up – in most cases the system can be prepared and activated within 1 week.

Low Cost, Improves Collections

  • Utilising the Transaction Gateway enables you to offer convenient payment options while keeping your collection costs as low as possible.
  • These low fees can either be absorbed by the centre or can be passed on to the parents.
  • The QikKids fee is a simple low cost transaction fee charged on successful transactions – this means you only pay for transactions you receive money on. Transaction charges start from as low as 4.4c per transaction depending on volume. Transactions are purchased in batches:
    2,000 Transactions $110 inc GST 
    10,000 Transactions $440 inc GST
  • Apart from the low transaction gateway fee your only other costs are the fees charged by your provider – please talk to you preferred provider for further information on their fees or check the downloadable Pricing Schedules on this page (where available).
  • In most cases you don’t have to have a bank account with our banking service providers to utilise this service – you can have the money deposited into the bank account you are currently using. New service providers will be added to the list so don’t forget to check back regularly.

QikKids Gateway Process

  1. QikKids Program
    Parent's billing details are entered into QikKids. For credit card and direct debit payments you activate the billing process based on your charging frequencies (i.e. weekly, fortnightly, monthly) while BPAY is fully automated.
  2. QikKids Transaction Gateway
    The Gateway processes the billing request/s via direct electronic links to the financial institution.
  3. Processing Financial Institution
    The nominated financial service provider debits the nominated accounts, processing the payments directly back into your bank account(s).
  4. QikKids Transaction Gateway
    QikKids then adjusts account balances for any rejected payments and inputs new payments in the case of BPAY.

Security
There is no need for you to install costly security measures on your systems – the QikKids Transaction Gateway uses the industry recommended security measures to protect your centre’s data.

QikKids does not receive any commissions or kick backs from the service providers we work with and we aim to give clients a choice of providers. We currently have two service providers set up and are working towards adding more shortly. If you have a financial services institution that you think would be appropriate to participate as a service provider please send us their details so we can review and discuss with them.

FFA PaySmart
PaySmart are a Direct Debit and collection software specialist. When dealing with the direct debit billing of customers’ fees and the cash flow of your business, there’s no room for error. Westpac offers your centre some unique banking services for the acceptance of payments from parents. Through Westpac’s relationship with QikKids, your centre will have access to an integrated solution for the acceptance of BPAY and Credit Card transactions.

Westpac’s experience is that many parents are looking for convenient ways to pay child care fees from their credit or debit cards. BPAY provides parents with the ability to make payments through their own financial institution, at a time that is convenient to them. Furthermore, the Credit Card service enables the automated processing of a payment to the parent's Visa, MasterCard or Bankcard at a predetermined frequency.

The services provided by Westpac through the QikKids Payment Gateway will provide your centre with a very cost effective alternative to other payment methods. In addition, it can assist your centre to save time and money, and reduce the handling of cash. These services will enable your centre's staff to spend less time on processing payments and more time attending to children.

To activate your QikKids Transaction Gateway simply follow these 4 steps:

  1. Complete and return the downloadable QikKids Transaction Gateway application form, nominating the service provider(s) of your choice.
  2. We will send you relevant paperwork to complete and return
  3. Ensure relevant parent billing information is entered into QikKids
  4. Start using the automated system!

FAQ Section

Q Do you provide a report on the transaction status?
A Yes, QikKids provides reports on both transaction results and settlement batches
   
Q Our parents will be concerned about data security – what is in place to ensure security and privacy of their details?
A All details, such as credit card number are encrypted before being stored in the database. These are transmitted using 128 bit SSL, secured with a 1024 bit key – this is the same encryption used by banks to protect internet banking transactions
   
Q How long does it take for the money to reach my bank account?
A This depends on the service provider and the type of transaction. It can vary from overnight to 3 days
   
Q What happens if a payment is rejected?
A QikKids will automatically reverse the payment and show the rejection on the family’s statement, along with a description of why the transaction failed
   
Q Do I need to become a Merchant? If so, how do I do this?
A Some credit card service providers may require you to become a merchant. If this is the case they will supply you with the required paper work.
   
Q Who do I contact with questions about payments?
A You can contact the QikKids Support Desk for any questions about gateway transactions. There are no charges for gateway related support questions.
   
Q Can I give refunds to parents using this system?
A Not at this stage, though if there is sufficient interest we may ask service providers to support this.
