QikKids Release 4.13.09 Notification

This is to advise that QikKids release 4.13.09 is scheduled for release on Wednesday the 22nd Feb at 9pm (QLD time) for all clients that have not already been provided with this update over the last couple of weeks.

This update has many new enhancements for all clients to use as well as a series of new reports becoming available.

February 2012 Newsletter

Welcome to the first newsletter for 2012.  It has been a busy few weeks with services getting back to normal attendance patterns after Christmas and with School starting back around the country.

This newsletter contains information on:

I also appreciate the patience of all of our clients who have attempted to call the QikKids Support desk over the past few weeks, during which we have experienced significantly higher than normal call volumes. This is as a result of the current CCMS issues which have caused longer than normal delays.

CCMS Connection issues

As many clients will know, there have been significant issues in connecting to CCMS over the last 4 weeks. This has not only impacted services using QikKids however has impacted services using all other CCMS software types.

CCMS have acknowledged this over the past few weeks and have sent out several communications to services advising that the issue is in the CCMS systems and they are working on a solution as a priority to reduce these problems.

On Wednesday QikKids also participated in a teleconference with CCMS to discuss these issues and they assure us that they have all available resources looking at these problems with a view to resolve them ASAP.

Our technical team here at QK Technologies has been working with CCMS in providing them with as much information as possible for them to diagnose and resolve the errors.  Over the last week in particular we have been recording the error types and volumes and have communicated this to CCMS.

Unfortunately we are unable to place a time line on any resolution however I encourage services to log into the CCMS portal daily for updates to this issue.


Release 4.13.09 notification

We have started rolling out release 4.13.09 to services with all customers expected to have access to the new release by the start of March.

This release contains many new features and enhancements which I know users will find very useful in managing their service.  Note that many of the items in the update come from services emailing in their ideas to ideas@qikkids.com.au where our development team have turned them into reality.

Client Help

QikKids provides various channels for clients to access support. Recently we advised clients of our new Online Help site. If you have not already seen this site, click HERE and we encourage you to save this in your browser favourites.

QikKids Release 4.13.07 Notification

This is to advise that QikKids Reports release 4.13.07 has been released last night (Wed 11th Jan 2011).

This release is only a minor update and no Webinars will be scheduled.

Christmas Newsletter

QikKids Reports Release


Thanks to all of the suggestions for new reports that clients put through ideas@qikkids.com.au over the last few months.  We have worked through many of these and will be releasing them to clients on Saturday the 17th December. 

For QikKids web clients, these reports will be automatically made available to you, for QikKids Professional and Enterprise clients you will need to perform an update of your database to download these new reports.

A reminder email will be sent out on Monday the 19th of December confirming the availability of these new reports.

QikKids Christmas Office Closure


For the short Christmas week, the QikKids head office will be closed.  This is for the week starting the 26th December. We will be back on board from 8am (QLD time) on Tuesday the 3rd January 2012.

Note that during this closure period, our QikKids Web service will continue to be monitored to ensure continuity of service.

Release 4.13.06 notification

We have already started rolling out release 4.13.06 to clients with the final release to be on Wednesday the 23rd November at 9pm (QLD time).

For QikKids Web clients, you will be automatically upgraded to the new version.  For QikKids Professional and Enterprise clients, please upgrade through your normal process.

ISS Case Management update

There are now many services submitting their ISS case claims through QikKids successfully each week.  

For those clients who have ISS cases at their service and have not yet started processing their ISS case claims through QikKids we would recommend that you start doing this immediately since you will be unable to process ISS case claims through the old manual quarterly method from the period starting 3rd Oct 2011.

If you have not yet participated in the ISS webinars, we have scheduled more webinars going through into January and invite all clients to participate in these sessions.

QikKids Release 4.13.05 notification and ISS Case management update

In the last few weeks we have released version 4.13 to all services which included the changes to accommodate claiming ISS payments. This newsletter provides an update to how ISS is going as well as answering a few common questions that have come from clients in the past weeks.

Release 4.13.05 announcement

While some clients have already been upgraded to version 4.13.05 of QikKids, on Wednesday the 19th Oct at 9pm, all other clients will have access to this new version.

Version 4.13.05 contains significantly improved error reporting, particularly relating to CCMS connections, as well as a series of resolutions to known issues.

For QikKids Web clients, you will be automatically upgraded to version 4.13.05 at this time. For QikKids professional and Enterprise clients, please upgrade when ready.

New online user guide

We have recently launched our new Online Help guide which will be used moving forward to manage help information for services.

When using the guide we recommend that you type in key words into the search bar to look for the information you are after. For example, if you are looking for information about increasing your fees at the end of the year, type in "increase fees" and the first result will be How to do a Fee increase.

How do I get training on how to manage ISS Case Claims?

From a QikKids point of view, we have created a series of tools for you to use in managing and claiming your case claims. This process is new for all services and requires some training to manage the process correctly however we believe that after a couple of weeks of claims it will all become second nature.

QikKids is providing several points to obtain training which are:
- Webinars (live online training with our training team)
- Training Guides
- Training video

Once you have done training, the Support team are more than happy to trouble shoot ISS case claims with you. For more information on all available training sessions, click HERE to visit our ISS webpage.

The primary things we talk about in the training sessions and in the QikKids Support team is "How do I ...... in QikKids?". If you have policy related questions (eg: What is the policy around claiming additional hours .......?") , please direct these to either the ISA/ISF or the CCMS Helpdesk.

What if the ISS case information sent to my CCMS enrolment is incorrect?

Recently CCMS sent out Newsletter Issue 37 which has a few basic question and answers for services to assist through the transition of ISS.  Here is an extract from this newsletter with some key Q & A.

1. You query the enrolment but no IS Case details come back.
Send an email to the CCMS Helpdesk with the details of your CCB Approval ID and the child or children for whom you receive ISS to include in care at your service. You will need to provide the CRN and/or CCMS Enrolment ID details in your email. The information will be checked with the NISSP and corrected where required as soon as possible.

2. The IS Case details don’t reflect the correct daily hours, or the week days a child is actually in care.
Providing the weekly hours total on the IS Case is correct, you will be able to successfully submit a claim and include each day where an additional staff member is required to include a child or children in care at your service (up to the weekly hours limit).

If you would prefer to have your IS Case details updated to reflect the correct days and daily hours for the week, send an email to the CCMS Helpdesk with the details of your CCB Approval ID and the daily hours and week days you believe you have been approved for. We will check the information with the NISSP to correct as needed. Because this discrepancy doesn’t prevent ISS Claims being processed and paid correctly, updates will be made where required over time.

3. The IS Case doesn’t show all the children for which my service receives ISS to include in care. Send an email to the CCMS Helpdesk with the details of your CCB Approval ID and the child or children who don’t appear on the IS Case information. The information will be checked with the NISSP and corrected where required as soon as possible.

4. The number of weeks and/or weekly hours and/or start and end date for the case is wrong.
Send an email to the CCMS Helpdesk with the details of your CCB Approval ID, IS Case ID and details of the discrepancy. We will check the information with the NISSP and correct it where required as soon as possible.


QikKids ISS Case management development

Some clients have reported issues when managing ISS cases through QikKids.  The symptoms of this include:
When creating an ISS case booking and including breaks, the calculation of total IS related hours is not working correctly.

When creating IS bookings and then looking to review in the Rolls, the IS booking appears to have disappeared.
We are reviewing these cases as we speak as well as a couple of minor items and expect to have these resolved shortly.

ISS Release announcement

On Wednesday the 21st of September at 9pm, we will release version 4.13.04 of QikKids. This release is primarily to provide clients with all of the appropriate tools to manage IS Cases within QikKids effective from October 2011.

For QikKids Web clients, your database will automatically be upgraded to the new version at this time.

For QikKids Professional and Enterprise clients, please update your database as per your normal procedure when ready.  Note for Enterprise clients, this release involves a schema change to the database so please ensure a backup is taken.

For further information on this release we have created a website where help documentation can be downloaded and you can also register to participate in a webinar on how to use the new features.

QikNews - Sept 13th Release Update

We have started the roll out of QikKids release 4.13.04 to clients with all clients to be updated by the end of September. There are several important parts to the release which we have summarised in the sections below being:

  • IS Case Claim management
  • QikKids Terms and Conditions annual acceptance
  • Inclusion of CCR in some financial report calculations
  • Additional new features and reports as a result of client feedback

We have already scheduled a series of Webinars for clients to participate in starting on Monday the 26th Sept and will also be providing all clients with release notes and access to a video tutorial on the release.

We will notify you again via email when your database is scheduled to be updated.

IS Case Claim Management

We have been working closely with CCMS to manage the set up and management of IS Case Claims within QikKids. This will impact services with existing IS Case Claims as well as future Cases created from the 3rd of October 2011.

In the next couple of weeks we will have a new page on our website with more information on IS Case Claims to assist services.

QikKids Terms and Conditions acceptance

When services start with QikKids there is an acceptance of the QikKids licence terms and conditions by the person that completed the application.  In this release we have further expanded this requirement to all QikKids Users.

We have done this to ensure all users are aware of the terms and conditions of use since we have received many calls in the past asking about this information.

Once your QikKids database is updated to version 4.13.04, on their next login all users will be asked to accept the QikKids terms and conditions of use.

The acceptance of the terms and conditions will then need to be accepted on an annual basis as well as the first login when you create new users.

New features in release 4.13.04

By now we have received many Ideas from clients to our ideas@qikkids.com.au mailbox.  We have now started rolling out some of these ideas we received which will be detailed in the Release Notes.  Here are just a few completed:

  • Preview of Account contact information without having to click into an actual contact
  • Enhanced Year to Date Absence counter
  • Over 10 new reports ranging from information on JFA families to current CCB percentages held by QikKids from the CCMS enrolments.

ISS release

Over the last few months we have been working on the new release to incorporate the management of ISS cases within QikKids.

We are currently in the testing process of this release and are working closely with CCMS to ensure all functionality is working with the CCMS test environment.

Over the next few weeks we will provide more information on the release date but more importantly on training that will be offered to clients.  Training will include:
- WebinarsOnline 
- Video tutorials
- Release notes

These will be available to all QikKids clients, giving you different options for learning about how to manage these new areas so please look out for further emails from us with this information.

New Reports
As well as the ISS release in September we are also finalising testing of some new reports which will be added to QikKids over the next few weeks. These reports are primarily as a result of Ideasfrom clients over the last few months and once ready we will provide services with notification of their availability.

QCAN Conference
Starting Friday the 26th August, QikKids will participate in the QCAN conference on the Gold Coast as one of the sponsors. We look forward to seeing many of our OSHC clients at this event and trust you will stop by and say hello.

Managing Bookings
Many services are going through a mid year re-shuffle of their children to different rooms.  This may also include children changing their booked days at your service.

Please remember that when you move a child from one room to another or change their permanent booking pattern that you should end the current booking and create a new booking for this child.

By doing this you will ensure that you retain a full history of the child's attendances at your service as well as making sure previous attendances and CCMS submissions are not impacted.

QikKids General Ledger module cease
For the last 3 years QikKids has provided no further development and support to the General ledger module within the program.  This has been communicated to clients several times via emails.

Further to this we advise that the General Ledger section module of QikKids will be removed at the end of 2011. We expect that there are no clients using this module since all information such as tax tables are out of date however we are using this communication as a final reminder of the cease of this module.
